Retention schedules

Retention schedules are used to determine how long records should be kept. In some cases, the records will be transferred to the School Archives. In others, the records will need to be securely disposed.

While the School follows the JISC retention schedules in general, the following areas have been reviewed. For these, School officers with the Records Manager have determined the best retention periods for their records.

Academic department records

The previous records retention schedule has now been superseded. The new schedule is the Academic Department Records Retention Schedule| (pdf).

This is not an exhaustive list, but is meant to cover the basic types of records stored by a department. In general, the Limitations Act (1980 c.58) sets a time limit of current year plus 6 years for seeking legal redress. If you aren't certain about a group of records or they aren't listed here, keep them 6 years from the time they were created, or contact the Records Manager.

On the other hand, this is not a list of the records you should be keeping. If you see a category of records you don't keep, please ignore it. You are not expected to start keeping any of the records listed that you don't already keep.

For administrative reasons, departments may need to keep duplicates of records held by central admin areas. These duplicates will have a shorter length of retention than the originals.

Administrative division records

Some administrative division records are listed in the Academic Department Records Retention Schedule. Others are covered by the JISC retention schedule for HE|. Any questions about retention can also be directed to the School's Records Manager, Dan Bennett|.
