Monitoring the progress of your request

Once you have placed your request, it is processed by the department and sent to our suppliers.  It will then appear on your catalogue record as shown below.  It will be 24 hours though before this happens.

If your request is for a loan then it will say 'loan' in the item type
When the request arrives from our supplier you will be notified via e-mail.  At the same time the status on your catalogue record will change to either 'RecCopy' or 'RecLoan' as shown below.

Loans generate two further messages from the Catalogue.  The first is a hold availability notice with an expiry date on and the second is a cancellation notice once this time has elapsed.  Please ignore these as items are held until the date shown on your initial notification unless recalled by the supplier.

Request Delays

Sometimes there is a delay in supplying requests. When this occurs you may receive an e-mail from us  informing you of the nature of the delay. The most common delays are:

  • No United Kingdom location
  • Further details such as the source of reference are required
  • Item is on a waiting list as our supplier either has to order it for their stock or it is on loan to another customer

The longest delay is when there is no UK location as it can take up to 16 weeks to obtain material from abroad.  Users therefore need to take this into consideration when making requests.

In situations where we are requesting further details we will provide a time frame in which you need to reply.  If no reply is received during this period, then the request will be cancelled. 

Arrival of the request

Upon arrival of your request, you will be notified as described above.  Material is supplied for home reading unless otherwise specified by the lending library.  Restrictions normally apply to the following material:

  • Theses (microfiche, microfilm and hard copy)
  • Any item obtained from outside of the UK
  • Material obtained from Oxford University, the British Library at St. Pancras, Trinity College Dublin and Cambridge University

The length of the loan and any conditions attached are decided by the lending library.  These cannot be altered.

In the case of users registered for additional library services, we will try where possible to obtain material for home reading, provided that the user has informed us at the time of placing the request.

Journal articles are supplied for retention and can only be collected by the person making the request.  Upon collection you will be asked to sign a copyright declaration form and pay a 10p charge.  This is a legal requirement under Copyright law.
