Quick Tip: Creating a bibliography in Word

You may want to create a list of references which is not related to the citations in the text of a paper, for example a reading list or free-standing bibliography. Or you may just want to print out the contents of an EndNote library - or part of it - as a list of references.
There are several methods to choose from:

Printing  the contents of an EndNote library as a list of references

  1. In Endnote select the references you want to print out, or arrange the Library so that only the references you want to print out are showing. (To do this you can use the Show Selected References or Hide Selected References commands on the References menu.)
  2. Select the bibliographic style in which you want to print the references from the toolbar style menu.
  3. From the File menu click on Print

Only a list of references will be printed and in a format which cannot be edited.

Copying References into a document

There are two easy methods for copying references into a freestanding bibliography - this method allows you to re-format your references once you have copied them into Word.   

  1. In Endnote highlight the references you wish to include and click on copy.
  2. Switch to Word and in Word click on paste. This will add your references into your Word document in an in-text citation format.
  3. To covert these into a bibliography click on the format citation button on the Endnote toolbar.
  4. Depending on the bibliographic style you have chosen, you may find that the in text citations are still visible above the bibliography. This will allow you to continue to reformat your bibliography or add extra entries from Endnote as you choose.
  5. Do not delete any visible in text citations - instead insert a page break in Word to divide the citations from the bibliography. When you print off your work, just omit the first page/s and select the pages with the bibliography

BUT if you are using Endnote version 9.01 or X1.01 you can only copy up to 50 references at a time - if you wish to include more than 50 references then you must do this in batches - pasting each batch below the previous one in Word.

Copying ready formatted references into a document

This method is simpler but will not allow you to reformat your citations or to change the style. You may copy an unlimited number of citations from Endnote

  1. In Endnote make sure the references you wish to copy are displayed in the order required e.g. alphabetically by author.
  2. Highlight the references you wish to include, making sure you have selected the output style you wish to use
  3. Choose copy formatted from the Endnote Edit menu to copy the references with your chosen style
  4. In Word just click on paste and your references will be added to your paper.

Exporting references to a document

You can also export references as a text file which can then be opened in Word or as an HTML file for creating a web based bibliography

  1. Open the library from which you want to export references.
  2. Select the references you wish to export or make sure none are selected if you want to export all of them. EndNote will export whatever references are selected in the library window, or all of those showing if none are selected.
  3. Make sure the references are displayed in the order required e.g. alphabetically by author. The references will be exported in the order in which they appear in the library window.
  4. Choose the bibliographic style you require from the style menu in the toolbar.
  5. From the Endnote File menu choose Export. The Export file name dialog box will be displayed.
  6. Name the file which will contain the bibliography and navigate in the 'Save in' box to where to wish to save it.
  7. Choose your required format-.txt or .rtf for opening in word or .xml or.htm for opening as a webpage
  8. Click on Save.
