Endnote databases are known as libraries. Individual records within libraries are termed references
Creating new Libraries
-
From the Endnote File menu choose New. A new reference library dialog box will open.
-
In the File Name box, key in the name of the new library. It is recommended that you follow the file name conventions and use the .enl extension for the names of your libraries.
-
In the Save in box navigate to the drive and folder where you wish to save the file, for example the EndNote X4 folder in your H space. If you are using EndNote in a public room you must save your library of references to your H space or it will be lost when you log off.
-
Click on Save. The new empty library will be displayed.
In Endnote 9 and above a new .data folder is created for each new library-do not delete these.
It is recommended that you create one library for all your references. Endnote X4 will allow an unlimited number of references. (If you are still using Endnote 7 then the upper limit is 32,000 references.)
Having one single library makes for easier working with word as you will never open the wrong library by mistake. You can use the Groups feature or add keywords and notes to aid navigation in your Library.
Don't forget to keep a back up copy of your library.
Creating new references
You may add new references by typing them in manually, though copying and pasting from other sources, by using Endnote to connect to catalogues| or by importing references from online databases|
Your references may be to books, journal articles, theses, etc. EndNote offers you different reference types for the different categories of publication. It is important to enter information correctly|, using natural language-do not enter everything in uppercase
-
From the References menu choose New Reference. An empty reference box will be displayed.
-
The default reference type is Journal Article. If you want to change the reference type choose another one from the drop-down list at the top of the box, for example Book or Edited Book.
-
Enter the bibliographic data in the appropriate fields. To move between fields click with the mouse in the required field or use the TAB key to move to the next field and SHIFT+TAB to move to the previous field. Each reference type has a different set of fields, however all reference types have Author, Year and Title fields. Not all the fields have to be filled in, only the ones you need. Do not enter any special formatting, such as bold or italics as this will conflict with the automatic formatting of reference styles at the export stage.
-
When you have finished entering information close the reference box by choosing Close Reference from the File menu, or by clicking on the Close Box, or by pressing keys CTRL + W. EndNote automatically saves the reference and will display the library window with the new reference listed. You can preview the appearance of the reference in a bibliography by clicking on Show Preview at the bottom of the Library window.
Deleting references:
-
In the library window, select the reference or references to be deleted.
-
From the References menu choose Move References to Trash.
-
References will stay in Trash until you choose to delete them completely. Frome References, choose Empty Trash. A dialog box asking if you are sure you want to delete the reference(s) will be displayed.
-
Click on the OK button. The reference(s) will be deleted and cannot be restored.
EndNote will also ask if you want to empty records from Trash when you close a library
You must use this method to delete an unwanted references-the delete key on your keyboard will not work.
You may wish to consider hiding references from your display instead-choose References/Hide Selected references
