Quick Tip: Editing & deleting citations and adding page numbers in Word

Editing Citations

If you need to edit a citation in your paper, for example to correct a typing mistake, you must do this by editing the parent reference in the EndNote library. Manual corrections will not be saved and may cause your word document to crash.

You must have Endnote open in order to make any editions or corrections - either switch to Endnote or in Word highlight the citation in the document and select Edit Library Reference(s) from the Tools menu. The reference will then open in EndNote for editing.

Adapting a citation

You may want to adapt an individual citation by, for example, omitting the author's name or the date, or inserting some text within the bracket, such as 'see...' before the author's name.

  1. Click on the citation you wish to adapt
  2. Select Edit&Mange Citation(s) from the Endnote ribbon
  3. The Edit Endnote Citation box will open in Word in which you can specify the desired adjustments.

Page numbers

This is a slight weakness in the Endnote program. Not all output styles recognise the cited pages field so you must instead use the suffix field. This field is recognized by all styles.
If you are using the APA 5th style in Endnote then this does recognise the cited pages field. However if you then need to reformat your paper into another style, for example to submit your paper as a journal article, your page numbers will not display if your new style does not recognize the cited pages field. This is why we recommend using the suffix field as it is interchangeable between styles whereas the cited pages field is not.

  1. Highlight the citation to which you wish to add a page number
  2. Select Edit&Manage Citation(s) from the Endnote ribbon.
  3. In the Edit dialog box enter the required information e.g. p. 13-22 in the suffix field.
    It is important to use the suffix field even though a 'cited pages' field appears to be available. Not all output styles recognise the cited pages field and therefore your page number would not display.

Deleting Citations

Do not delete any citations manually - your changes may not be saved and your other references may be altered.

  1. Click in the citation you wish to delete and then right click to
  2. Chose Edit&Manage Citation(s) from the Endnote ribbon.
  3. In the Edit Citations box make sure the correct citation is highlighted and then click on the Remove option from the drop down menu.
  4. Your citation will be deleted from the text and the bibliography

If you only wish to remove the citation from the text, but want it remain in the bibliography, then follow the Adapting citations| and select the options so as to hide both the author and the date information.
